You have three options for assigning courses.
- Individual Assignment - Assign to individual members.
- Advanced Assignment - Assign members based on their job and location.
- Group Assignment - Assign to academy groups. This topic covers Individual Assignments and Advanced Assignments. For instructions on assigning courses using Group Assignment, see the Assign a Course to an Academy Group topic.
Navigation: UKG Pro Learning > Training (hover) > My Courses > select a course
- From the top of the course card, select Assign.
- Select Individual Assignment or Advanced Assignment.
Individual Assignment
Select Members
- (Optional) Filter the list of members using the Type, Above Unit, Unit, Job, and Additional Fields filters, or search for a specific member using the Search field.
- From the list of members, select the + icon next to each member to which you want to assign the course. You can remove a member by selecting the - icon next to their name in the Selected Users column.
Configure Assignment Settings
- Optional. In the Assignment Date field, enter a date in the future on which you want the assignment to occur.
- From the Due Date drop-down list, select The course has to be completed in and enter a number of days, or select The course has to be completed by and enter a date.
- (Optional) Check the Unassign users once due date is missed box.
- (Optional) To include prerequisites for the course in the assignment, check the Assign Prerequisites box.
Note:
The Assign Prerequisites option is only available if prerequisites are configured for the course. - Optional. In the Message field, enter a message to include with the assignment.
- Optional. To include an attachment in the assignment, select Upload Assignment.
- Select Assign.
After selecting Assign, each member included in the assignment will receive a notification in the Learning solution and a separate email notification.
If you want to bypass global notifications settings for course/curricula, and
- send a notification for a specific assignment, although no notification should be sent out based on the global settings
or - not send a notification for a specific assignment, although a notification should be sent out based on the global settings
you can do so by checking/ not checking the checkbox.
Advanced Assignment
You can assign a course to multiple members based on their job, location, and organizational structure, and create an assignment rule to assign the course to future hires automatically. You can also schedule the assignment for a specific future date.
Select Member Criteria
- From the Select Job drop-down list, check the box next to each job to which you want to assign the course and then select Close.
- From the Select Above Units and Select Units columns, check the desired boxes. You can filter the columns using the Filter by Type and Filter by Above Unit drop-down lists.
- (Optional) Select Add More Job/Unit Criteria to add additional Job, Above Unit, and Unit criteria. The Add More Job/Unit Criteria setting enables you to combine assignment rules by using AND, OR, or NOT operators. For more information, see the Combine Assignment Rules topic.
After selecting your assignment criteria, you can view the total number of members selected, and how many of those members are already assigned to the course. You can also download a list of the members who will be included in the assignment.
- (Optional) From the Choose additional fields drop-down list, select any additional fields by which you want to filter the members.
Configure Assignment Settings
- In the Hiring Date fields, enter a date range.
Note:
Only members who were added to the Academy within the date range provided are included in the assignment. To base the assignment on the dates members were hired to the organization, select the Last Hire Date and Date in Job fields from the Choose Additional Fields drop-down list and apply the appropriate dates.
- From the Preferred Content Language drop-down list, select the preferred language.
- In the Assignment Date field, enter the date on which you want the assignment to occur.
- From the Due Date drop-down list, select The course has to be completed in and enter a number of days, or select The course has to be completed by and enter a date.
- Optional. To include prerequisites for the course in the assignment, check the Assign Prerequisites box.
- Optional. In the Message field, enter a message to include with the assignment.
- Select Assign Now.
