Event Visibility

Standalone registration-based events are open to all the members of an academy to join. You can, however, restrict the access to employees of specific units, above units, or jobs based on your organizational structure. 

An admin can see the "Connect to org structure" option only for:

  • Course- or Curriculum-connected events
  • Events that do not count for course completion

This option is exclusively available for the master event within a bundle. For this option to be visible, all event offers must be scheduled as upcoming. 

A Course- or Curriculum-Connected Event inherits the Course or Curriculum category. By using the "Connect to org structure" option you can restrict the visibility rules for a course or curriculum-connected event.

Note:

  • Users have to be assigned or enrolled in the course or curriculum to have initial visibility. Users not assigned or enrolled do not see these events on the calendar.
  • For a manager to enroll users in an event, the event must be visible. If an event is not visible, managers will be unable to register or unregister users, or approve individuals from the event’s waiting list. Attempting to do so will result in the following error message: "You do not have the permission to access the Waiting List for the Events of this Type."

    This restriction is in place to prevent users from being notified about events that are not accessible to them.

To connect an event to the org structure, find the course or curriculum in question and head to the Manage Course/Curriculum page. Once you are there, select Live Sessions or In-Class Training from the left panel, depending on the type of event you want to search for.

Then, select Manage Events.

Search for your event click on Manage Event and then select Connect to Org Structure from the available options.

In the panel that opens, choose your options from the drop-down list and select Save

Note:
Course steps are numbered differently for those who do not meet the criteria you have set.
