Mark Courses and Curricula as Completed for Multiple Employees

Academy Administrators, Training Managers, and Managers with the Bulk Complete Training permission can mark courses and curricula as completed for multiple users at once.

  1. Select Courses or Curricula
  2. Select the training to mark as complete. Use the search bar if needed.
  3. Select Individual Completion or Advanced Completion.

Individual Completion

  1. Find individuals using the search field and drop-down filter menus.
  2. Select an individual by selecting the plus (+) symbol next to their name in the left-hand column. The user will appear in the Selected column. To remove an individual from the list, select the minus (-) symbol.
    1. For curricula, select:
      1. Only curriculum or 
      2. Curriculum and courses
  3. Select Mark as Completed.

Advanced Completion

  1. Select a Job.
  2. Select the Above Units and Units. Filter with the dropdown menus if needed.
    1. If you use custom fields, select Choose Additional Fields to select them.
    2. Combine user groups by adding more criteria, if desired. See Combine Assignment Rules for more information.
  3. Review your selection.
    1. For curricula, select which to Mark as completed:
      1. Only curriculum or 
      2. Curriculum and courses
  4. Select Mark as Completed.

Template Completion

Administrators and Training Managers with permissions can use a template to mark training as completed for users.

  1. Select Courses or Curricula
  2. Select the Download Template icon.
  3. Fill out the template with the relevant information (such as course ID, user ID, completion date, etc.). This template is used to:
    1. Add/update due dates,
    2. Assign users to a training, or
    3. Mark users as complete by an administrator. To mark users as complete by an Administrator, the following fields must be completed:
      • A unique identifier for each user; either User IDUser External IDEmail, or Employee Number
      • A Course or Curriculum ID for each course/curriculum you need to assign. Find this by running a Course or Curriculum Report on the Report Builder, or by checking the course's/curriculum's URL.
      • The Mark As Completed field must be "Y". 
      • For curricula, fill out the "Mark Courses As Completed" column, with an
        • "N" to mark the curriculum as completed
        • "Y" to mark both the curriculum and its courses as completed. 
  4. Select Upload on the Manual Completions page to add your document. The process begins automatically.

Important: 

  • The template can be used only for current records and completions, not for any past completions.
  • If a completion date is not added, the completion date will reflect the day that the template will be uploaded.
  • When using the template, its format should not be changed. No rows or columns should be added or deleted. If the template's format is changed it will not upload.

Note:

  • When marking a course as completed for a user using this functionality, the associated lectures within the course will not automatically reflect completion as "by admin", nor will their attempt counts increase. To mark the lectures as completed "by admin", you need to click the wrench icon next to each lecture and select "Mark as completed".

    However, even after performing this action, the attempt count will not increase. The Attempts column reflects the actual number of times the user personally opened and completed the lecture. This process also applies to curricula and the courses included within them.

  • If the users that you are trying to mark as complete have an active completion, then you will not be able to mark them as completed. These may be cases where a lecture/course was added to the course/curriculum while Maintain Progress was set to No, and the users now have an active completion but with 0% progress.
