A time-based transitions profile will allow you to plan your users' training on a timetable, based on the duration you have selected for your profile.
Navigation: UKG Pro Learning > Admin > Transitions > Transitions Profiles
Once you are in the profile that you want to set up the flow for, just click on the "Open" arrow to start planning the training. The timetable you will see depends on the time units set and the duration you entered while creating the profile.
The profile in this example has a duration of 7 days. Selecting the open arrow (>) will expand the timeline, starting on day 1 and running until day 8.
The administrator or manager can select the + sign under each day number to select the training that will be set for this day. If the administrator or manager selects the + sign under day 1, three different options are presented.
Add Course
By selecting Add Course, two options are displayed for you: Assign the course or Invite to Enroll.
- Selecting Assign will allow you to set the duration for the course training and then select the course.
Once a course is selected, a Save button will appear and the administrator will be able to add the course to the selected day. A new line will be created under the Days/Weeks plan with the new course and its duration. - Selecting Invite to Enroll will allow you to select the day/week the users will be invited to enroll in the course, and then select the course.
Once a course is selected, a Save button will appear and the administrator will be able to add the course to the selected day. A new line will be created under the Days/Weeks plan with the new course showing under the day/week that the invitation will be sent.
In both cases, the administrator will be able to modify the course by selecting the edit icon (pen and paper).
Add Curriculum
By selecting Add Curriculum, two options are displayed for you: Assign the curriculum or Invite to Enroll.
- Selecting Assign will allow you to set the duration for the curriculum training and then select the curriculum.
Once a curriculum is selected, a Save button will appear and the administrator will be able to add the Curriculum to the day selected. A new line will be created under the Days plan with the new Curriculum and its duration. - Selecting Invite to Enroll will allow you to select the day/week the users will be invited to enroll in the curriculum, and then select the curriculum.
Once a curriculum is selected, a Save button will appear and the administrator will be able to add the Curriculum to the day selected. A new line will be created under the Days/Weeks plan with the new curriculum showing under the day/week that the invitation will be sent.
In both cases, the administrator will be able to modify the course by selecting the edit icon (pen and paper).
Note:
Invite to enroll activities will not be included in the total stats calculation in the Transitions Dashboard or in My Dashboard (Transitions tab). Additionally, the Invite to Enroll activities stats will not be displayed per activity.
Add Message
Selecting the Add Message option will allow you to set a message that will be delivered via email to the employee. You can set the day (or week) that the message will be sent, the body of the message, and who will be the sender of the email.
You can also define a different message that will be sent to the users that have a specific Preferred Content Language. Once a language is selected from the dropdown, only users having the selected language as preferred will receive the specific announcement. If All languages is selected the announcement will be sent to all users, including the users that have no preferred language.
Note:
The "Sender" dropdown list is populated with the role of the Admin as well as the roles of the Managers that:
- are directly associated with the users included in the onboarding profile and
- have the Send Announcement permission enabled
Once the Training plan for the transition profile has been designed, the admin can activate the profile. All current employees that need to be assigned to the training will be included in the profile.
You can also combine the time-based flow with the activity-based flow.
